Purchasing Administrator - Job Description


Summary

 

The Purchasing Administrator is responsible for all supply chain processes, paperwork and documentation at Grafix. This involves all facets of purchasing processes from purchase requisition creation through the receiving of incoming goods.  The PA works directly with the Director of Production to handle requisitions and purchase orders through all phases of the procurement process. This position will also be heavily involved in the job closing process.

 

Level of Work


The PA executes all procedures related to purchasing, inventory, and logistics.  Tasks are routine but require attention to detail, and the understanding of relevant processes. Attention to details, and identification and remediation of exceptions to processes is critical.   Most duties are interrelated and there is always considerable input and support from management.  Success in this position means extensive and thorough communication with all other departments of the company.

 

Job Dimensions

 

The position is responsible for handling the routine aspects of a multi-million dollar purchasing budget. The associate will be heavily involved in the daily tasks required to process purchase requisitions and purchase orders, as well as job closing reconciliation and processing. 

 

Primary Responsibilities


  1. Under the direction of the Director of Production, create and process purchase requisitions.
  2. Creation, monitoring, and receiving of Purchase Orders.
  3. Administration of paperwork and ERP related transactions and systems.
  4. Communicate to organization regarding purchase order and logistics information.
  5. Support research and negotiation of new and current vendors and products.
  6. Administratively maintain inventory system, and inventory counting process.
  7. Review job closings and be able to accurately close jobs upon completion.
  8. Maintain various production and office supplies.

 

 

Physical Demands/Working Conditions

 

The employee must possess the ability to use the phone and computer for extended periods, manual dexterity to complete clerical functions and work with office equipment daily.  Must be able to hear, see and communicate verbally to exchange information.  Receiving activities and investigation of inventory requires walking into the warehouse several times a day.  Light lifting occasionally required mostly around organizing boxes of paperwork.  The employee must be able to walk, balance, bend, carry, push, reach, sit and stand.


Education/License Requirements


Associate degree in related field or equivalent background experience.

 

Experience Requirements (Skills, Knowledge and Abilities)


  1. Experience in office environment a plus.
  2. Strong basic math proficiency.  Basic calculations, conversions from English to Metric.
  3. Proficient in use of Microsoft Office Suite.
  4. Organized, Detailed, and dependable.
  5. Strong written and verbal communication skills.
  6. Experience as part of an effective team.
