Position Summary:
This is a full-time position as Administrative Program Assistant (APA) for the Family Based (FBMHS), Intensive Care Coordination (ICC), and Childrens Review Team (CRT) programs at the Audubon office. The APA will provide direct administrative support to the FBMHS, ICC and CRT Programs.

Required Qualifications: 

  • High School diploma or GED
Preferred Qualifications:
  • Bachelor’s degree in human services or a related field.
  • 1 or more years of experience in a healthcare organization or human services field.
​​​​​​​ Responsibilities:
  • Provide direct APA support to assigned agency programs.
  • Support the regular verification of MA eligibility of all clients in assigned programs utilizing the EVS or AVA electronic systems.
  • Data entry and document management utilizing agency EHR.
  • Create and maintain electronic client files and conduct regular chart audits in assigned program.
  • Regularly compile, cross-reference and submit units for billing, assuring accuracy for quality control.  
  • Run overlap reports and complete utilization reviews to check for accuracy and quality assurance.
  • Prepare documents using Microsoft Word or Excel and may prepare presentation materials using Microsoft PowerPoint, either by entering handwritten changes to existing files, or by creating files from hand-written drafts.
  • Take and prepare minutes for departmental meetings as assigned.
  • Provide support to assigned program and leadership to assigned APA’s to ensure programs are in compliance with contracts, regulations, and other program deliverables including audits.
  • Send, complete and monitor the status of DocuSign envelopes.
  • Additional duties as assigned or requested from supervisor.
Essential Functions:
  • Write, read, and communicate effectively in various platforms such as email, over the phone, over virtual video conferencing, and in person
  • Utilize agency-issued equipment with expertise in computer systems including but not limited to Microsoft Office, Electronic Medical Records, and Network Drives
  • Utilize office equipment (phone, fax, copier and scanner).
  • Collect data for internal and external stakeholders and develop reports in accordance with local, state, and program regulations
  • Organize and file paperwork into client specific charts and maintain confidentiality
  • Track deadlines and provide communication to responsible parties in a timely manner
  • Effectively communicate and interact with clients, peers and community representatives.
  • Ability to work in a drug free workplace.
  • Maintain valid driver’s license and insurance.
  • Current child abuse, criminal and FBI clearances.
Work Environment:
  • Work in a standard office environment.
  • Hybrid role with 4 days in the office per week, with one of the required days being a Monday.

Compensation and Benefits:

  • $17 an hour
