Alumni Association Graduate Administrative Assistant

Position Summary
The South Dakota State University (SDSU) Alumni Association is seeking a friendly and professional individual to join our team as a Graduate Administrative Assistant (GAA). The position will support the Alumni Association by serving as the first point of contact for alumni, students, and visitors. The GAA position plays a crucial role in representing the Alumni Association and providing exceptional customer service. This position offers an exciting opportunity to engage with the SDSU community and contribute to the overall success of the Alumni Association.

Essential Duties and Responsibilities
This position is based at the SDSU Alumni Association office located in Brookings, South Dakota. The work environment is professional and collegial, with frequent interaction with staff, alumni, students, and other visitors.
  • Provide administrative support for the Alumni Association staff including (but not limited to) arranging meetings, conducting data entry, assisting in marketing projects, and completing tasks to support the SDSU Alumni Mentor Program.
  • Participate in Alumni Association, SDSU, and SDSU Foundation events which will require night and weekend availability.
  • Assist with event registrations, including collecting payments, managing attendee lists, and providing event information.
  • Collaborate with Alumni Association staff to ensure efficient communication and coordination.
  • Open the Alumni Association office at the beginning of the day and complete the closing process to ensure the office is locked and secure at the end of the day.
  • Greet and welcome visitors, alumni, and students in a warm and professional manner.
  • Provide information and assistance to visitors regarding Alumni Association programs, events, services, and resources.
  • Answer and direct incoming calls to the appropriate staff members.
  • Manage and distribute incoming and outgoing mail, packages, and deliveries.
  • Maintain a tidy and organized reception area, ensuring it reflects a professional image.
  • Schedule and coordinate appointments, meetings, and conference room reservations.
  • Uphold and promote the values and mission of the SDSU Alumni Association.
  • Other duties may be assigned to meet the organization’s needs.
Education and Experience
Candidates must be qualified for unconditional admission to Graduate School at South Dakota State University.
Administrative experience or experience in an office setting preferred but not required.

Compensation
In addition to an hourly rate, the position includes a special tuition rate (waiver of tuition cost, university support fee and program fees for state-support and self-support courses).

Typical Physical Demands
Requires sitting, standing, bending, reaching, and some lifting (up to 40 pounds) such as chairs, setting up tables, tailgating equipment, and other office supplies and inventory. Requires manual dexterity sufficient to operate standard office machines such as computers, copy machine/printer, credit card payment terminal, calculators, the telephone, and other office and/or clerical equipment. Requires normal range of hearing and vision.

Work Schedule
This assistantship requires a commitment of 20 hours per week and is based in Brookings, SD. The work schedule will fall within the standard Alumni Association office hours of Monday through Friday, 8 a.m. to 5 p.m. except for event duties scheduled during nights and weekends.

The GAA position will coordinate with their supervisor to accommodate their class schedule and work schedule.
