Introduction:
Peak Veterinary Referral Center seeking a highly motivated and experienced Veterinary Research and Compliance Administrative Coordinator to join our multi-specialty animal hospital. This pivotal role will primarily focus on overseeing the administrative work for our Oncology department, ensuring adherence to the regulatory and safety demands established by the USP-800 guidelines and AVMA protocols. Additionally, the role will support the hospital with research coordination, safety, and overall regulatory standards. The ideal candidate will be a Certified Veterinary Technician (CVT) with a strong background in veterinary practice, research, and regulatory affairs.

Key Responsibilities:
1. Research/Clinical Trials Coordinator:

  • Research and evaluate clinical trials of interest to doctors at Peak, assessing feasibility, necessary supplies, and support staff requirements.
  • Understand clinical trial protocols and secure necessary permissions from clients, including managing client compensation.
  • Educate clients about the purpose of clinical trials, participation requirements, and potential benefits/risks.
  • Coordinate with doctors on scheduling patients for trials, ensuring the availability of supplies and support staff to adhere to protocols.
  • Complete all necessary paperwork, including consent forms and regulatory documents, and manage sample processing, storage, and shipment.
  • Monitor and document patient progress and any adverse reactions, ensuring timely reporting to relevant stakeholders.
  • Maintain detailed records of all trials, ensuring compliance with all regulatory and ethical standards.
  • Facilitate communication with external research organizations, sponsors, and regulatory bodies as needed.
  • Prepare detailed reports and presentations on trial progress and outcomes for internal and external stakeholders.
2. Hospital Wide Safety and Compliance:
  • Update safety audit logs monthly and ensure timely resolution of identified issues.
  • Ensure an adequate and up-to-date supply of chemotherapy drugs, emergency antidotes, and related medical supplies.
  • Maintain appropriate levels of personal protective equipment (PPE) and administration supplies, conducting regular inventory checks.
  • Monitor dosimeter badges for current and new hires and address reported radiology concerns.
  • Oversee the proper maintenance and calibration of essential equipment, including chemo hoods, tables, ECT machines, and other specialized apparatus.
  • Coordinate OSHA compliance activities, ensuring adherence to safety regulations and standards.
  • Conduct regular safety training sessions and drills for staff, fostering a culture of safety and compliance.
  • Develop, implement, and periodically review safety protocols and emergency response plans.
  • Monitor and enforce adherence to hospital policies and procedures, conducting regular compliance audits.
  • Serve as the primary point of contact for all safety and compliance-related inquiries and issues.
3. Clinical Administrative Support:
  • Provide client and patient care in close collaboration with board-certified medical oncologist, focusing primarily on the needs of the Oncology department.
  • Oversee chemotherapy protocols, management, and safety for Medical Oncology patients after receiving specialized training.
  • Establish and maintain professional and respectful communication with referring veterinarians, ensuring timely updates on patient status.
  • Develop and maintain an in-depth knowledge of Veterinary Oncology, staying informed on the latest methods, treatments, protocols and scientific advancements.
  • Assist in the training and development of the paraprofessional team to deliver the highest quality care and exceptional client service within the Oncology department.
  • Review and triage referrals, coordinate with Doctors of Veterinary Medicine (DVM) to prioritize and schedule oncology patients.
  • Schedule new consult appointments, rechecks, and follow-up visits for oncology patients, ensuring optimal use of hospital resources.
  • Assist with patient discharges by providing clients with detailed post-care instructions and addressing any questions.
  • Perform other duties supporting alternative hospital departments as assigned by administration, while maintaining a primary focus on Oncology department responsibilities.
Minimum Requirements:
  • Certified Veterinary Technician (CVT).
  • Minimum of 5 years of direct hands-on Oncology technician experience.
  • Preferred background in research and safety/compliance.
  • Strong organizational and communication skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Proficiency in using veterinary practice management software and other relevant technology.
