Job Summary:

As a member of the payroll team this position participates in all aspects of the bi-weekly payroll. Responsibilities include monitoring of weekly time submission, understanding and validating complicated data elements for entry, and processing payroll. This position will support the Smith community throughout the payroll process responding to questions, explaining procedures, and training employees. The Senior Payroll Specialist will have a meaningful role in the configuration and ongoing maintenance of the Workday system. This position will also supervise student workers.

Essential Functions

Payroll (70%):

  • Process all aspects of the payroll in a timely and accurate manner which includes data entry and evaluation, running processes, and reviewing payroll calculations before processing.
  • Preparation and review of internal and external payroll reports.
  • Work closely with human resources, the provost's office, and other departments to support the time entry and approval process as well as administer payroll changes and deductions.
  • Participate in annual workers' compensation audits.
  • Process periodic and quarterly tax filings, reconcile discrepancies, and ensure data accuracy and filing timeliness.
  • Prepare amendments as required.
  • Audit payment requests for accuracy and proper authorization, and perform account reconciliations between payroll and the general ledger.
  • Respond to inquiries, investigate and resolve problems.
  • Reconcile compensation and process year-end W-2 tax reporting.
  • Audit payroll records to ensure compliance with college policy and federal and state laws.

Student Employment (10%):

  • Support the student employment processes and all aspects of student hiring. Assist faculty, staff and students with the creation and posting of student positions and the hiring of student workers.
  • Support students in onboarding in Workday and assist with Central Check-in for first year students.

Payments to Foreign Persons (10%):

  • Administer government regulations regarding payments to non-resident aliens. This includes calculating tax withholding for both payroll and accounts payable payments.
  • Support the year-end tax reporting and production of 1042-S Forms.

Other Duties (10%):

  • Reconcile general ledger accounts and participate in month-end closing processes.
  • Participate in fiscal year-end audit, Form 990 preparation, and IPED submittal. Other duties as assigned.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses):

  • Associate's degree plus three to five years of relevant experience with payroll, including the payment of foreign persons or an equivalent combination of education/experience.
  • Knowledge of accounting, general ledger, IRS guidelines, and withholding information.
  • Experience working with diverse backgrounds.

Preferred Qualifications:

  • Advanced degree and/or payroll certification(s)
  • Experience with Workday, a union workforce, payments to foreign persons and tax treaty assessment, payroll amendments, financial accounting and reconciliations preferred.
