Senior Payroll & Retirement Administrator

Hastings Insurance is currently looking for a Senior Payroll and Retirement Administrator to join its Human Resources team! The individual in this role will play a key role in ensuring the accurate processing of employee payroll and administration of our retirement plans.

Position Location & Work Format
This full-time, non-exempt (hourly) position works Monday- Friday from 8:00 a.m. to 4:30 p.m.
This position is flexible in its location! Candidates residing within the greater Hastings, Michigan area can work a hybrid (combination of on-site and work-from-home). Hastings will also consider fully remote-based candidates!
Position Duties & Responsibilities

Payroll Program Administration

Processes Hastings total internal payroll, including:
Timely and accurate completion of bi-weekly exempt and non-exempt payroll procedures in preparation for external processing through HRIS (UKG Pro)
Timely and accurate development and completion of biweekly and monthly pay data reports in support of Financial Accounting goals and objectives
Payroll record keeping to support the preparation of all required internal and external quarterly and/or annual reports per state and federal guidelines
Providing training and technical expertise for payroll administration backup to ensure continuity of payroll.
Calculation and processing of special payrolls, including those associated with the Employee Incentive Compensation Plan and the 401(k) Discretionary Contribution Program.
Familiarity with all legal and regulatory requirements regarding payroll to ensure compliance and avoid any financial and/or legal penalties.

Retirement Program Administration

Conducts 401(k) new employee orientation meetings.
Enroll new hires and newly eligible employees.
Processes 401(k) contribution rate changes.
Verifies accuracy for biweekly match calculations.
Coordinates periodic 401(k) employee communication meetings.
Serves as a technical resource for employees on Fidelity web applications.
Completes all year-end data compilation for Non-discrimination testing.
Coordinates the annual 401(k) external audit, including supplying required data, facilitating communication between all external and internal parties, and coordinating all audit meetings between outside auditors and Hastings.
Assists with the administration of the executive SESP, including:
Serving as a communication resource
Processing and verifying biweekly contributions/monthly statements

Regulatory and Compliance

Familiarity with all legal and regulatory requirements and changes regarding retirement plans to ensure regulatory compliance and to avoid any financial and/or legal penalties.
Responds to employee questions regarding policies and procedures, seeking assistance from other HR team members when necessary.

Employee Relations

Establishes and maintains positive employee relations through networking with Hastings managers and employees.
Assists HR leadership in the development, maintenance, and implementation of HR and Company policies for the employee manual, administrative guide, and internal communications relating to payroll and retirement plans.
Serves as an internal HR representative or chairman on select Hastings Insurance employee committees.

Special Projects

Participates in or leads HR or Hastings corporate projects utilizing Hastings project management methodology.
Actively participates in professional development, i.e., continuing education or self-improvement.
Other duties as assigned by leadership, either verbally or in writing.
Candidate Requirements & Qualifications
Bachelor’s degree in Business, Management, Human Resources, Accounting, or equivalent work experience.
Demonstrated PC skills, including advanced use of Microsoft Office products.
Experience processing hourly and salaried, multi-state payroll with UKG Pro (UltiPro) is highly desired.
Developed math aptitude.
Working knowledge and exposure to Human Resources terminology, information, and process flows.
Ability to organize, set priorities, complete multiple projects within established deadlines, and work with a sense of urgency while maintaining a strong attention to detail.
Excellent demonstrated verbal and written communication ability.
Ability to create and deliver effective presentations.
