Payroll Specialist

The payroll specialist processes all aspects related to paying employees within the organization for multiple federal employer identification numbers (FEINs). This role is responsible for reviewing time sheets, addressing discrepancies, reviewing benefit and tax withholdings for new hires, calculating unused vacation accruals for separating employees, and for entering periodic and annual increases including calculating retroactive wages.
This role is responsible for maintaining the payroll system and processing paychecks according to schedule. Duties will include consolidating timesheet information and entering data into payroll databases, calculating paycheck amounts and distributing funds to employee accounts.
This role reports to the SVP Payroll Manager.
CORE RESPONSIBILITIES :

  • Demonstrates highest standards of personal and professional integrity, adheres to company's policies and procedures, and complies with applicable laws, government rules and regulations.
  • Review accuracy of the biweekly timesheets for every employee. Address and resolve issues and questions regarding payroll from employees and superiors.
  • Reconcile approved hours from timesheets with calculated pay checks in the Ceridian Dayforce payroll system.
  • Generate and reconcile biweekly payroll totals with the payroll GL file and provide accounting with required supporting payroll documents.
  • Assist Payroll manager by responding to state and local tax notices.
  • Manage payroll tax reconciliation including quarterly tax filings and retroactive unemployment tax rate changes.
  • Manage wage garnishments as necessary.
  • Receive approval from upper management for periodic bonuses, commissions, or other supplemental wages as required.
  • Prepare scheduled reports for upper management, finance department etc. upon request
  • Prepare monthly invoices for intercompany Fund Billing and add new users to the Fund Timesheet portal.
  • Assuring all changes made to employee's records meet compliance requirements for approvals, and that approved change forms are filed timely for auditor reviews
  • Other duties as assigned.
QUALIFICATIONS :
Education:
  • This position requires a High school diploma and previous payroll experience. An Associate Degree in Business Administration is preferred.
Experience :
  • This position requires at least 5 years of prior payroll experience.
Skills:
  • Intermediate skills in Microsoft Word, Excel, Outlook are required for this position.
  • Reliable and trustworthy with attention to confidentiality.
  • Outstanding organizational ability with great attention to detail.
  • Excellent written and oral communication skills.
  • Intermediate knowledge of Ceridian Dayforce or other timekeeping software.
