OFFICE MANAGER POSITION AVAILABLE:
Compensation is $50,000 - $70,000 Depending on experience
We are seeking an OFFICE MANAGER to join our team! Come to work for a great company with over 60 years experience in the automotive industry. Positive work environment. Full Time Position, M-F, 8-5, No nights or weekend work. Retirement plan. Small company work environment.
JOB RESPONSIBILITIES:
• Oversee and supervise small office staff to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems.
- QuickBooks experience is preferred
• Interpret and communicate work procedures and company policies to staff.
• Analyze financial activities of establishments or departments and provide input into budget planning and preparation processes to owner.
• Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes.
• Resolve customer complaints or answer customers' questions regarding policies and procedures.
• Prepare and issue work schedules, deadlines, and duty assignments for office or administrative staff.
• Work with our accounting manager to assist in the preparation of monthly billing and financial reports alongside logistics management of incoming and outbound physical inventory.
• Develop work schedules according to budgets and workloads.
• Assist in recruiting, interviewing, and hiring new employees.
• Evaluate employees' job performance and conformance to regulations and recommend appropriate personnel action.
• Make recommendations to management concerning such issues as staffing decisions or procedural changes.
• Review records or reports pertaining to activities such as production, payroll, or shipping to verify details, monitor work activities, or evaluate performance.
• Design, implement, or evaluate staff training and development programs, customer service initiatives, or performance measurement criteria.
• Coordinate or perform activities associated with shipping, receiving, distribution, or transportation of vehicles.
• Discuss job performance problems with employees to identify causes and issues and to work on resolving problems.
• Process New Unit Orders and Create Files - Assign Bus #'s and Invoice #'s
• Verify All Required Documents are in File received from Sales staff
• Receive Manufacturer Production Reports, Review and Update information, and provide to Sales Team weekly
• Coordinate & Schedule Delivery with Customer once Unit is cleared from Service Dept
• Vehicle Delivery Paperwork - Electronic via DocuSign and Paper Documents
• Answer Incoming Phone Calls, Research pricing for Office & Shop parts/supplies as needed by shop or other office staff
Previous experience in accounting &/or office management is required • Fundamental knowledge of GAAP • Working knowledge of Quickbooks is preferred • Detail and deadline-oriented • Strong analytical and problem solving skills. Being able to multi-task is very important and will be required in this position.
