As the Office Manager, you'll play a crucial role in ensuring the smooth operation of our clinic's clerical functions, maintaining positive relationships with patients and staff, along with supporting our team of physical therapists and physical therapist assistants.
Performance Responsibilities:
• Maintain courteous and friendly relationships with patients and staff at all times.
• Follow company policies and procedures to ensure efficient clinic operations.
• Answer phones, take messages, and relay messages to the appropriate personnel.
• Retrieve, sort, and distribute mail.
• Assist patients with completing necessary forms and paperwork.
• Verify insurance coverage, employment status, and other relevant information.
• Collect patient responsibility prior to provision of services.
• Prepare patient files and documentation for therapists.
• Schedule appointments and manage patient records accurately.
• Monitor accounts receivable and work closely with our billing department.
• Maintain confidentiality of patient information and adhere to HIPAA regulations.
Minimum Requirements:
• Strong clerical experience, preferably in a clinical or healthcare setting.
• Proficiency in clerical procedures including phone skills, typing, word processing, and filing systems.
• Basic knowledge of medical terminology.
• Ability to maintain cleanliness and organization in patient treatment areas.
• Willingness to assist therapists and support clinic staff as needed.
Physical Demands and Work Environment:
• Requires full range of body motion and physical stamina to perform various tasks.
• Frequently works under stressful conditions in an environmentally controlled clinic setting.
• May occasionally drive a personal vehicle during working hours.
