PAF/Position Details Position Details Position Title Associate Registrar Position Status Full-Time Position Summary Information Job Description Summary The Associate Registrar is responsible to the Registrar for preserving student record integrity and accuracy for current and former students. The Associate Registrar will serve as a point person to address all complex record discrepancies for both students and faculty/staff. Additionally, this position will oversee academic scheduling of course and room assignments. In addition to adhering to current procedures, this position will aid in the improvement and implementation of new/modified business processes to increase the overall student experience.
The priority closing date is October 23rd, 2024, but we will continue to review and accept applications until the position is filled. Responsibilities Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration, and active support of the University's Mission in Catholic and LaSallian higher education.

-Comply with FERPA/HIPPA/ADA and other applicable laws pertaining to academic records
-Ensure the accuracy and integrity of student records using critical thinking strategies
-Investigate and provide timely resolution to student record disputes in coordination with Business Office, Financial Aid Office and/or faculty
-Responsible for implementation of new product offerings and software upgrades for Credentials Solutions for transcript fulfillment; manage Credentials Solutions internet transcript ordering system to maintain order tracking and customer communication; act as liaison with Credentials' client relationship managers
-Coordinate academic schedule entry with the colleges and use 25Live to schedule academic spaces on campus; analyze space utilization and facilitate room changes for faculty and staff
-Assist with coordination of academic catalog
-Set-up of Faculty Feedback Reporting each semester including No-Show, Midterm and Athletic Reports'
-Assist with Degree Works, Scribe, Controller maintenance Assist in the development and distribution of the course schedule book
-Update academic space room inventory across campus
-Responsible for hiring, training, and supervising the front office staff; graduate assistant and student workforce
-Train end users with access to Banner INB/SSB
-Reconcile course and/or program charges with student records and tuition billing detail codes
-Reconciling student record program coding needed for accurate degree audits
-Identify and resolve technical issues within student records database
-Counsel students, families and faculty/staff on academic policies and procedures related to student records
-Develop and maintain, as well as analyze, data reports related to student records
-Ability to prepare and present academic related information and respond to questions from faculty, staff, student and the general public while dealing with confidential and sensitive issues and materials
-Continually improve processes and workflows to create more efficient systems
-Comprehensive skills and integrity to think strategically and facilitate task/goal accomplishment in a time-sensitive environment while keeping both a broad scope and operational details in mind -Assist in special projects and/or activities
-Fill in for Registrar when necessary
-Serve on University committees and/or task forces as assigned. -Perform other duties as assigned Minimum Qualifications A bachelor's degree is required. Experience in a records office or working with sensitive data preferred. Working knowledge and experience in customer service and problem solving. Ability to apply critical thinking strategies in order to streamline procedures for maximum efficiency, both short term and long term. Prepare reports and analyze data using current and available technologies not limited to but including Microsoft Office Suite. The ability to communicate well both orally and in writing is essential. Candidates must also have a commitment to Catholic higher education and to the University's LaSallian Mission.
