Our joy is a deliberate act of obedience in response to who Christ is and what he has done.<br><br><strong>THE ROLE</strong><br><br>The Administrative Coordinator ensures smooth and efficient daily operations of the ministry. The primary focus is to manage the day-to-day administrative functions of the organization. The position reports to the Director of Administration but regularly works with many members of the team on a variety of projects and needs.<br><br><strong>THE DAY TO DAY</strong><br><br>Your essential duties and responsibilities:<br><ul><li>Timely and accurate entry of donor gifts and donor profile updates.</li><li>Financial documentation and approvals for deposit activities, payables, and employee expense management. </li><li>Assist with coordinating functions of the employee recruiting, retention, and offboarding processes.</li><li>Create reports to provide insight into programmatic and development work.</li><li>Support the program team with technology needs.</li><li>Provide event coordination for both internal and programmatic events.</li><li>Fulfill equipment and supply order requests as requested.</li><li>Assist regional offices with facility needs such utilities and phone/internet services, janitorial and maintenance requests, and office setup. </li><li>Organize the internal calendar for all team and department meetings.</li><li>Manage travel requests for staff and the board of directors.</li><li>Direct all incoming communications to appropriate team members (phone calls, visitors, email, packages, etc.).</li></ul><br>Work Environment<br><ul><li>The normal work environment is an office environment with meetings offsite in conference areas, coffee shops, and/or other public spaces. Other working environments may include parks, event centers, and other family-oriented meeting spaces. Due to the nature of these spaces, weather and temperature may vary. Churches are a regular environment for recruiting and coaching efforts.</li><li>Noise level in the work environment is moderate.</li><li>The work schedule varies based on the needs of the organization and will have weekend and evening work.</li><li>Travel to other regional office sites, team gathering locations, and event sites on an as needed basis. </li></ul><br>To perform this job successfully, an individual must demonstrate the capacity or potential to perform each essential duty with excellence. You can detect minutia detail while also being able to see the detail within the greater context.</li><li>Ability to pivot quickly to match the needs of the mission and department. You enjoy working in a fast-paced, dynamic environment and can adapt your workflow to regular change. </li><li>Strong technical and analytical problem-solving skills. You enjoy figuring things out without needing clear cut instruction. </li><li>Proficient in Microsoft office suite. We use it all: Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint.</li><li>Capable of working with a variety of technology including CRMs, video conferencing, cloud-based applications, etc. Our team is spread across the state, so we are always online. </li><li>Sound perception in conversations, observation, judgment, and decision-making. You know how to listen both to the said and unsaid, how to ask the right questions to gather more information, and how to take the next right step.</li><li>Warm and relational verbal, written, and interpersonal communication skills. You can connect with a variety of people in a range of settings (small gatherings, large groups, individual meetings, etc.)</li><li>Ability to maintain confidentiality under a wide range of circumstances.</li><li>Active learner willing to collaborate with others and embrace new ideas. You see feedback as an opportunity for growth and actively seek it out. </li></ul><br>Your education, certification, experience and/or other requirements:<br><ul><li>Bachelor's degree in business and a minimum of 4 years of working experience in administration or operations. Equivalent education and experience will be considered.</li><li>A minimum of 3 years of working experience in Microsoft Office Suite.</li><li>Prior experience working in a Customer Relations Management system.</li><li>Must have a valid driver's license, active and up to date liability coverage, and a dependable vehicle.</li></ul><br>Physical Demands<br><ul><li>1/3 of the time be able to: climb or balance; stoop, kneel, crouch or crawl; lift up to 50 pounds; push or pull up to 25 pounds.</li><li>3/4 of the time be able to: stand; sit; walk; use close vision (20 inches or less) for computer work; reach with hands and arms.</li><li>3/4 of the time be able to: use hands; talk and hear.</li></ul><br>The above is representative of the faith, values, knowledge, skills, abilities, education, experience, physical demands and other requirements an employee needs while performing the essential functions of this job.
