Office Administrator

We are seeking a highly organized and detail-oriented Office Administrator. This positionwill support the smooth running of our organization. In this role, you will be responsible for managing administrative tasks, as well as overseeing office operations.
We trust you to:

  • Keep the office clean and well-run.
  • Order lunches/groceries/refreshments/ supplies and equipment.
  • Direct line of communication with building maintenance to handle any issues that may come up.
  • Answering the phone & greeting clients
  • Processing payments from clients and recording deposits in our accounting system
  • Collating tax returns for delivery to clients
  • Create and manage projects in Practice Management software
  • Scanning documents & managing inbound & outbound mail
  • Oversee office facilities, including cleaning, and maintenance.
  • Organize the office facility (archiving/organizing storage, kitchen, ensuring clean desk policy is followed).
  • Assist our management team with adhoc requests
  • Coordinate office activities and operations to ensure efficiency and compliance with company policies
  • To book company travel & coordinate and facilitate travel and expense reports for executive leadership
  • Plan and schedule company events, appointments, and meetings
  • Coordinate with the IT department for equipment distribution and inventory management
  • Support coordination and execution of forms and documents required for proposals and contracts.
Requirements
  • Proven experience as an office administrator or relevant role
  • Well spoken and presentable
  • Strong attention to detail
  • Proactive problem solver
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred
