Job Description:

The Opportunity:

We have an amazing opportunity available for you in our new office space located at 100 Staples Drive in Framingham, MA! This position will allow for your love of building systems, vendor management, budgeting, processes and procedures to shine within the confines of a new facility. The role will report to the Director of Workplace Experience, and you will be a part of a team dedicated to creating the best workplace experience for our amazing employees, customers, prospects and visitors.

This position will be responsible for managing multiple functions of building operations and maintenance for our office. You will have the opportunity to work closely with all teams within our facility as well as our teams located in our Dublin, Ireland facility.

Please note this is an onsite position five days a week (Monday - Friday) in our Framingham Office

The Opportunities That Are Waiting for You:

Working in a new state-of-the-art 157K office that hosts cutting-edge technology, an amazing design concept, a Wellness Center, a Café, and a library.

Developing and maintaining positive relationships with Workhuman staff and vendors.

Attending weekly team meetings for updates.

Coordinating, overseeing, and/or managing repair and maintenance work assignments performed by technicians, vendors, and contractors performing building maintenance and janitorial work. Working within our internal Jira ticket system to ensure completion of maintenance and repairs.

Overseeing facilities inspections and reports.

Coordinating with the Workplace Experience Director to manage moves, adds, and change activities.

Obtaining and reviewing price quotes for the procurement of parts, services, and labor for projects.

Managing capital projects and preparing capital project and operating budget and variance reports.

Managing vendor relationships and training vendors on billing procedures. Responsible for invoice processing and accuracy of cost center coding.

Using PC for Jira ticketing system, BMS, email, Slack, Teams, and training.

Providing process and procedure training.

Conducting financial/business analysis including the preparation of reports.

Coordinating, overseeing, and/or managing repair and maintenance work assignments performed by technicians, vendors, and contractors performing building maintenance and janitorial work.

Ensuring compliance with ISO (International Standards Organization) standards.

Developing and implementing facility management policies and procedures.

Ensuring compliance with health and safety regulations.

Managing budgets and ensuring cost-effectiveness.

Assisting with security measures and emergency preparedness.

Working with the Environmental Sustainability Director to implement sustainability and environmental initiatives.

Monitoring and reporting on facility usage.

Managing relationships with Property Management on LL CAM and other needs.

Managing the day-to-day operations of facility management, any ongoing maintenance issues, and any events or special requirements. This includes cleaners, day porters, and café porters.

What you bring to the position:

Bachelor's degree in Facility Management, Business Administration, or related field, or equivalent experience of 5-7 years in a facility management capacity.

Opportunity to work with a new Building Management System.

The ability to use your experience as a Facility Manager or relevant position.

The potential to share your knowledge of facility management best practices.

Excellent leadership and interpersonal skills.

Advanced organizational and multitasking abilities.

Ability to work under pressure and handle emergency situations effectively.

Certification in Facility Management is a plus

Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use work order system, Jira.

Working knowledge of architectural, electrical and mechanical systems. Working knowledge of leases, contracts and related documents.
