The working hours are from 7:30 am to 4:30 pm and this position is required to be on site Monday through Friday. This position is telework eligible upon approval of the Project Manager and COR. Duties: Project Management Support Act as a backup to the Project Manager (PM) on an as-needed basis. Assist the PM with: Coordinating tasks and managing resources. Ensuring compliance with contractual requirements. Serving as a liaison between team members and the government. Problem-solving and decision-making to maintain project efficiency. Conducting quality management activities, including defining quality expectations, monitoring tasks, and providing feedback. Implementing performance metrics to measure task quality and identify improvement areas. Providing training to staff to address skill gaps and enhance performance. Encouraging a culture of continuous improvement and documenting standardized processes. Allocating tasks among team members based on workload and individual strengths. Overseeing the management and monitoring of supply inventory. Establishing cleaning standards and overseeing the cleaning of appliances. Cleaning and Maintenance Ensure a clean and organized work environment. Oversee and assist with: Stocking offices and personal protective supplies. Wiping down desks. Weekly cleaning of microwaves (inside & out). Daily checks of heavily utilized Keurig coffee makers, disposing of used coffee pods, and rinsing out pod containers. Weekly checks and rinsing of all remaining Keurig coffee makers. Establish a cleaning schedule to clean all refrigerators within 45 days of contract modification using lead-certified cleaning products. Establish a process for staff to identify their belongings to prevent accidental disposal. Establish and distribute communications regarding cleaning schedules. Clerical and Administrative Duties Perform various clerical and administrative duties, including: Screening publications, directives, and periodicals, and bringing significant items to the attention of the PM, COR, and management. Referring complex inquiries to the PM or designated contacts. Distributing incoming correspondence to appropriate staff. Organizing and preparing materials and files. Reviewing and assessing correspondence requiring governmental signatures for grammatical and procedural correctness. Assisting WSD staff with finalizing letters and memos, filing, copying, scanning, and transmitting documents. Establishing and maintaining office chronological files and automated control systems. Researching information, gathering facts, and compiling data on administrative and management activities. Training and Supervision Train and supervise junior team members in their assigned tasks. Ensure team members are trained in their roles and responsibilities. Quality Control and Standards Implement and maintain quality control standards for cleaning and stocking procedures. Conduct regular inspections to ensure compliance with established standards. Travel Requirements 0 - 10% Salary Grade Job Requirements JOB REQUIREMENTS Education and Experience: Minimum of 5 years of clerical office experience or 2 years of executive-level experience. Skills and Attributes Detail-oriented. Knowledgeable in or able to learn SharePoint. Proficient in Microsoft Office Suite (Word, PowerPoint, Excel). Strong organizational skills. Ability to work independently and complete tasks with minimal supervision. Excellent problem-solving and decision-making abilities. Strong communication skills for training and feedback purposes. Able to obtain and maintain Public Trust clearance.
