SUMMARY
This position performs the task of processing and payment of customer payments. A high level of detail and accuracy is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Receive and open mail daily relating to the accounts payable function.
  • Distribute invoices to the appropriate department manager for approval.
  • Coding of invoices using appropriate branch and general ledger accounts.
  • Ensure invoices are paid in accordance with vendor terms.
  • Run a check processing system paying all approved invoices.
  • Assemble and organize voucher packages and checks for final approval by the Controller.
  • Filing and maintenance of support for paid vouchers. Maintain vendor files in an orderly fashion.
  • Research vendor and general ledger account activity as requested by Sr. Staff Accounting Supervisor and Controller.
  • Effectively interacts with vendors, purchasing personnel, branch personnel, and others regarding disposition of payments.
  • Respond to vendor inquiries via phone, fax and email regarding past-due balances/payable issues in an efficient and courteous manner.
  • Assist in month end close.
  • Post payments to customer accounts in a timely and efficient manner.
  • Prepare daily bank deposit from checks received.
  • Review and research account balances for accuracy.
  • Review A/R for posting and status of accounts.
  • Communicate with department manager concerning problems with accounts.
  • Data entry.
  • File and maintain customer files, ensuring they are kept in an orderly fashion.
  • Research customer account activity as requested by Sr. Staff Accountant Supervisor and Controller.
  • Respond to customer inquiries via phone, fax and email regarding payments/ balances on their accounts in an efficient and courteous manner.
  • Assist in monthly pricing to customers.

This job has no supervisory responsibilities.
QUALIFICATIONS

  • Experience with automated accounts payable and receivable systems.
  • Experience with spreadsheet applications.
  • Detail oriented with good time management skills.
  • Excellent communication skills both verbal and written.

EDUCATION and/or EXPERIENCE
Requires high school diploma or general education degree (GED); with 1 year accounting experience.
