Receptionist (R) - 2nd Shift (40 hours, Full-time)
BUILD, Inc. (Broader Urban Involvement and Leadership Development) is presently seeking a committed, self-motivated, and innovative individual to join our team. The Receptionist (R) is responsible for the front desk at BUILD Inc, as the initial point of contact for the agency. The (R) answers the phones, greets staff, program participants, community members, and guests, and addresses the needs of the front desk. The (R) works with the front desk team to maintain a welcoming and safe initial contact with BUILD. The (R) reports to the Reception Manager (RM) , as part of the Operations Department.
Responsibilities are but not limited to:

  • Answer phone calls, direct phone calls, take messages, and provide basic information regarding BUILD and its programs.
  • Greet visitors, direct visitors to their destination, and make sure all guests are checked in using the visitor registration system.
  • Update the BUILD calendar as assigned. Monitor designated email accounts as assigned.
  • Work with reception staff and other staff on scheduling rooms, program spaces, and agency vans, using the Room Reservation System.
  • Organize and maintain the reception area in a clean and welcoming manner, keeping all materials stocked as needed.
  • Assist with following/completing reception daily checklist.
  • Assist with receiving mail, making sure all outgoing mail is received by mail carrier. Handle deliveries and notify staff of deliveries.
  • Provide administrative support for the Executive Team as assigned.
  • Provide the highest quality customer service
  • Work in a professional manner, with other staff to maintain building security, follow safety procedures, working patiently and supportively with program participants/young people, community members, guests and others. In collaboration with other reception staff, monitors security cameras and raises any concerns identified on the cameras.
  • Maintain current knowledge of agency's calendar of events, services and programs and BUILD staff
  • Attends and assists in departmental and agency-wide staff meetings, as scheduled and agency-wide events as required.
  • Other duties as assigned.
Requirements
  • HS/GED or minimum experience of 3 years in administration field
  • Demonstrated ability to establish respectful and appropriate relationships with program participants, all levels of agency staff and various public partners off the agency. Demonstrated ability to communicate in a friendly and informative manner with people from a wide variety of cultural and ethnic backgrounds and lifestyles.
  • Willingness to work a flexible time schedule, which includes possible late evenings and weekends for all agency events
  • Demonstrates good judgment and ability to work independently and as a part of a team. Ability to handle matters of a confidential nature.
  • Must possess good written and verbal communication and interpersonal skills, and be proficient in the use of technology, software, emails and Microsoft 365.
  • Must be able to handle multiple tasks and respect all deadlines simultaneously effectively and efficiently.
  • Must pass Child Endangerment & Violence screenings, Illinois State Background Check & Federal Fingerprints.
