Position Summary:
The Office Administrator is responsible for initiating and maintaining POS systems applications and Norwalk Office admin needs. This is an exciting opportunity for a dynamic, outside-of-the-box detail-oriented admin who is looking to join an innovative multi-brand organization and be part of a remarkably dedicated team focused on growth & expansion!
This position is responsible for application and maintenance paperwork for the store point of sale systems as well as Office facilities management. This position will provide support for daily POS operations to ensure proper performance and up-to-date features to drive store performance. Requires excellent communication skills and knowledge of store operations and store systems.
Essential Duties & Responsibilities:
  • Re-route incoming mail to applicable departments.
  • Complete address change from all forwarded mail from 607 Main Avenue Norwalk to Summit Wash Holdings 383 Main Ave., Suite 703, Norwalk, CT, 06851
  • Complete POS new applications, ownership changes, bank changes, and user changes.
  • Remove Chadwick, Matthews, and Sabia as signors and replace them with Sung.
  • Change all phone numbers to a business phone number, remove all personal phone numbers.
  • Change bank accounts to collections accounts to the greatest extent possible.
  • Merchant Statements - access to IQ or send statements to IQ - ASAP after month-end.
  • Maintain MID database & manage ownership - continuity, signor, bank documents, MID #'s, and legal documentation such as FEIN #'s, articles of incorporation, certifications of incumbency, and DBAs.
  • Maintain phone numbers such as customer service, IT, and finance. Personal identification protection such as signors driver's license and social security numbers.
  • Responsible for setting up and maintaining the POS Portal & providing access to applicable parties.
  • Responsible for setting up merchant service fee coordination & approval by Transaction Solutions.
  • Responsible for merchant services monthly statements and access to IQ Cash Management.
  • Set up and maintain the POS portal & provide access to applicable parties.
  • Handle customer inquiries via phone, email, or in person. Respond to customer complaints and provide timely solutions.
  • Responsible for route risk management issues supporting IT, Operations, Marketing, and Finance.
Requirements:
  • Minimum of 4 years working experience with Office 365 (Word, Excel, SharePoint, Outlook, PowerPoint)
  • Excellent written & verbal communication skills, including proven procedural documentation skills
  • Establish and refine processes and procedures related to the position and improve efficiencies
  • Learn and adapt quickly with excellent attention to detail
  • Previous customer service experience strongly desired
  • Possess effective problem-solving skills & Ability to work independently and as part of a team
  • Handle constantly changing workflow; remain productive during slower periods and be able to multitask during fast-paced times
