Summary of Job
Under the direction of the Finance Director, the AccountingClerk is responsible for performing basic accounting, bookkeeping, and clerical duties. Primary tasks include assisting Village personnel to submit and processing check request, payable invoices, and contracts; performing weekly check runs; preparing bank deposits; and balancing cash registers. Working conditions are primarily inside an office environment.
Essential Duties & Responsibilities
  • Creating and maintaining vendor files and relationships. This includes working with Village personnel to ensure all vendor records are accurate and obtaining W-9s from vendors as necessary.
  • Assisting Village personnel with submitting/maintaining check requests, invoices, and contracts within the Accounts Payable module. This includes ensuring copies of all invoices are scanned and attached within the ERP.
  • Processing check runs on a weekly basis for all current invoices payable.
  • Receiving cash and check collections from various departmentsand entering them as receipts into the cash register.
  • Balancing cash registers and preparing deposits every Monday, Wednesday, and Friday to provide to the Finance Director to bring to the bank.
  • Acting as primary back-up for collecting and processing payments at front counter.
  • Involved in team effort during tax season to collect, process, balance property tax payments; and to assist Finance Director in questions regarding property taxes. Involves standing for long periods of time.
  • Running reports related to accounts payable for management and governance.
Typical Qualifications
• High school diploma or GED equivalent
• One (1) year of bookkeeping, financial record keeping, or accounting clerical experience.
Knowledge, Skills, and Abilities
  • ThoroughworkingknowledgeofMicrosoftOfficesoftwareandtheirapplications especially in Excel and Outlook.
  • Prior experience working within the Tyler Munis ERP is a plus.
  • Ability to communicate with a variety of people with differing interests.
  • Abilitytoeffectivelycommunicateandpromotebothverballyandinwriting.
  • Ability to establish good working relationships with all levels of staff and citizenry, and provide facilitation skills in sensitive, emotional, or hostile situations.
  • Knowledgeofbookkeepingandaccountingprocedures,principles,practices,and techniques.
  • Knowledge of cash handling procedures and practices.
  • Knowledge of automated record keeping systems.
  • Ability to perform basic mathematical calculations.

Employer-paid basic premium, value equal to 100% of the employee's annual salary rounded to the highest $1,000 with employee option to purchase up to two additional increments for a total of 3 times the employee's annual salary.
Long Term/Short Term Disability Insurance
The Village of Germantown offers a Short Term Disability plan through ETF to any regular employee that works at least 24 hours per week. The premium is paid 100% by ETF and the plan pays a monthly benefit of 75% of monthly base salary after the employee has been off work for 30 days.
