Job Title: Program Assistant (Bilingual) Job Code: GSS080/Administrative Support Shift: First - Full-Time (40 hours per week on average) Job Hours: 8:00 AM - 5:00 PM - Monday through Friday Base Location: Gwinnet County Division/Department/Program: APEX Program APEX Program is an innovative program that has been providing services to the students in the state of Georgia, supported by Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD), and school systems. Key to success has been having a great team of clinicians supported by caring and effective clerical team. Under general supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Work is performed under the general supervision of a clerical or administrative supervisor. Duties &amp; Responsibilities: Receive referrals from school partners and create ECR. Contact family to complete administrative documentation in ECR. Schedule initial appointment with assigned clinicians. Complete clerical portion of service authorization request. Check and monitor insurance coverage at the beginning of the service and each month. Answer clerical inquiries from client, school and team members. Assist in monitoring failed activities. Assist administrative discharge of clients. Update materials and activities for clients (apps, printing worksheets, books, etc). Assist programs material needs by ordering and managing supplies. Participate in weekly and monthly meetings. Minimum Qualifications: High school diploma or GED AND Two years of general office or administrative experience. Must be able to write, read, speak, and comprehend English and Spanish. Preferred Qualifications: Minimum 1 year experience working in a medical/mental health setting. Outgoing, engaging and personable communication skills. Experience working with insurance and billing. Experience using Carelogic or other electronic record system. Excellent computer skills including familiarity with Microsoft Word, Excel, and Med Terminology is essential. Highly organized and detail oriented. Requirements/Competencies: Must be at least 21 years of age. Must be able to write, read, speak, and comprehend English and Spanish. Must be computer literate on Microsoft Office, Excel, Access and Windows applications. Must have excellent human relations skills, having dealt with a variety of customers and employees. Must work well under pressure and act as problem solver and team player. Must understand and be willing to adhere to all team member policies, procedures, and processes included in the Team Handbook and the Patient's Right Handbook. Must have full insurance coverage on the vehicle used to work. Submission to a fingerprint criminal background checks whose results allow employment with the organization. Submission to a pre-employment drug screen.
