We are seeking a highly organized and proactive individual to join our team as a Part-Time Executive Assistant to support our financial services firm. The ideal candidate will possess exceptional communication skills, meticulous attention to detail, and the ability to manage multiple tasks efficiently. This role offers the opportunity to work closely with a seasoned financial professional in a fast-paced and dynamic environment. Responsibilities: Administrative Support:

Provide comprehensive administrative support to the Financial Advisor, including managing calendars, scheduling appointments, and organizing meetings. Client Management:

Assist in managing client relationships by handling inquiries, scheduling client appointments, and ensuring exceptional service delivery. Document Preparation:

Prepare and proofread financial reports, presentations, and other client-related documents with a high level of accuracy and attention to detail. Database Management:

Maintain client databases and CRM systems to ensure accurate and up-to-date client information. Correspondence:

Manage and respond to emails, phone calls, and other correspondence on behalf of the Financial Advisor in a professional and timely manner. Project Assistance:

Assist in various projects and initiatives, including research tasks, event coordination, and special assignments. Confidentiality:

Handle sensitive information with the utmost discretion and always maintain confidentiality. Qualifications: Proven experience as an executive assistant or administrative assistant, preferably in the financial services industry. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM systems. Experience with Equisoft is a plus. Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and colleagues. Exceptional organizational and time management skills, with the ability to prioritize tasks effectively. Meticulous attention to detail and a high level of accuracy in all work. Ability to work independently with minimal supervision and as part of a team. Discretion and integrity when handling confidential information. Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
