What's the role?

Tevora is seeking an Internal Event Producer to join the Event Marketing team - a critical role to engage, dazzle, and delight our dynamic employees from across the country. This position requires a seasoned professional with experience in event planning, coordination, and execution. The right candidate must have a deep understanding of how to make an event a true success, from planning, to budgeting, to flawless execution.

As key owner of internal events, you are detail-oriented and self-motivated. You know how to get down to business, negotiating with vendors and internal stakeholders to ensure that strategic goals, deadlines, and budgets are met.

As an internal face for cultural engagement, we expect you to have a positive disposition, even while juggling a full workload. We expect you to get to know our employees and culture so you can develop an instinct for the activities that will engage everyone without an eyeroll. That's right, you know how to make "mandatory fun activities" the kind of events we can't stop talking about.

A day in the life could include: Grab a coffee from the campus coffee shop and head to the office for the marketing department team meeting. Begin contacting venues and research programming for the next all employee gathering. Run a status meeting with your boss and executive sponsors with the latest updates on budget, and decisions made. Negotiate the AV contract to ensure we get everything we need at a reasonable cost. Create timelines and staffing matrixes for the employee holiday celebrations. Communicate deliverables and logistics to partner sponsor for event. Travel to execute a customer-facing event in Phoenix. Work with our internal design team to refine the logo for this year's annual theme. Necessary skills and qualifications:

Bachelor's degree in marketing, communications, or related field 3-5 years hands-on event planning experience Proven ability to work with clients or internal stakeholders at a leadership or executive level Self-starter with ability to work independently or with a team Working knowledge with communications and/or design software such as Word, PowerPoint, Excel, Canva, Constant Contact, etc. Experience with planning software such as Monday Exceptional verbal and written communication skills Bonus Points:

Experience with a highly technical audience Direct experience within an event planning agency Experience in internal communications Key Responsibilities:

Event planning: management of all aspects of event production including: pre-planning research and coordination; identification, vetting and hiring of vendors; programming and logistics planning, onsite coordination, obtaining appropriate approvals, etc. Establish day of activities/agenda including Tevora attendees and Run of Show Budget management and tracking, managing event-related expenses such as submission of invoice requests to accounting Creative direction for event themes, invitations and décor, etc. Ensure completion of duties associated with event logistics including confirmation emails and calls; nametags and sign-in sheet creation Day-of execution, including on-site event management, delegation and management of marketing department members Post-event evaluation, including post-mortem with relevant stakeholders, feedback surveys, reporting to sponsors, logistical wrap-up, etc. Logistics and communications: pre-event and day-of and wrap up Stakeholder communication: status reporting to Marketing Director, VP of Marketing, and President on an ongoing basis, plus others as needed Continuous innovation and improvement Responsible for submitting entries to industry awards, with direction from Marketing leads Support of customer facing events as needed Other duties as assigned Salary:

$37,500 - $45,000

Travel:

10-25%, with minimal international travel
