The Payroll Specialist will be responsible for the accurate and timely processing of payroll for employees across six nursing homes. This role requires a high level of attention to detail, organizational skills, and the ability to handle confidential information. The Payroll Specialist will work closely with HR and finance departments to ensure compliance with company policies, state, and federal regulations.
Responsibilities:

  • Payroll Processing:
  • Process payroll for all employees across six nursing homes on a bi-weekly basis.
  • Ensure accurate calculation of wages, overtime, bonuses, and deductions.
  • Review timekeeping records and reconcile discrepancies.
  • Data Management:
  • Maintain and update employee payroll records, including new hires, terminations, and changes to pay rates or benefits.
  • Ensure all employee data is accurate and up-to-date in the payroll system.
  • Generate payroll reports for management and auditors as required.
  • Compliance:
  • Ensure payroll processing complies with federal, state, and local regulations.
  • Stay updated on changes in payroll laws and regulations.
  • Prepare and submit payroll tax filings and other related reports.
  • Employee Support:
  • Respond to payroll-related inquiries from employees and management.
  • Resolve any payroll discrepancies or issues promptly.
  • Provide guidance to employees regarding payroll policies and procedures.
  • Collaboration:
  • Work closely with HR to ensure accurate employee data entry and maintenance.
  • Collaborate with the finance department to ensure accurate financial reporting and reconciliation.
  • Coordinate with nursing home administrators to address any location-specific payroll needs.
  • Auditing and Reporting:
  • Assist in internal and external payroll audits.
  • Prepare monthly, quarterly, and annual payroll reports.
  • Analyze payroll data and provide insights to management.
Qualifications:
  • Education:
  • Associate's degree in Accounting, Finance, or a related field; Bachelor's degree preferred.
  • Certification in payroll (e.g., Certified Payroll Professional, CPP) is a plus.
  • Experience:
  • Minimum of 2-3 years of payroll processing experience, preferably in a multi-site or healthcare environment.
  • Experience with payroll software (e.g., ADP, Paycom, or similar systems).
  • Familiarity with timekeeping systems and HRIS.
