Job Overview:
CBC Real Estate, a subsidiary of Capitol Broadcasting Company, is seeking a dynamic and detail-oriented Office Manager to join our team. This role is pivotal in supporting the Senior General Manager by handling various administrative and management functions essential for the effective operation of our commercial real estate properties. As the Office Manager, you will serve as a key point of contact for tenants, vendors, and contractors, ensuring that daily operations run smoothly and efficiently.
Key Responsibilities:
  • Tenant and Vendor Relations:
    Act as the primary liaison between tenants and the property management team. Develop and maintain positive relationships with tenants and vendors, addressing their concerns and ensuring their needs are met promptly.
  • Front Desk Support:
    Provide backup support at the front desk, welcoming office visitors, answering inquiries, and directing them appropriately.
  • Tenant Requests Management:
    Receive, prioritize, and dispatch tenant requests, coordinating with relevant teams to ensure timely resolution.
  • File Management:
    Maintain accurate and up-to-date tenant and vendor files, including certificates of insurance and work order processes, ensuring that all property-related information and notices are communicated effectively as directed by the Senior General Manager.
  • Reporting and Analysis:
    Generate and analyze key reports, such as aged delinquencies, cash receipts journals, rent rolls, lease profiles, and tenant sales. Provide insights and recommendations based on these reports to support informed decision-making.
  • Database Management:
    Populate and manage databases with accurate information for budgeting, monthly operational reporting, and other essential functions.
  • Financial Administration:
    Assist with property accounts receivable, collections, and accounts payable coding and input, purchase orders, contracts, utilities as directed by the Senior General Manager. Ensure that all financial transactions are processed accurately and in a timely manner.
  • Lease Administration:
    Support lease administration tasks, including reviewing lease agreements, monitoring lease compliance, and assisting with lease renewals and amendments.
Qualifications:
  • Education:
    Bachelor's Degree or equivalent is required.
  • Experience:
    5 years of progressively responsible experience in commercial property management, commercial general contractor or a related tenant management role. Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities will also be considered.
  • Technical Skills:
    Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required; experience with Yardi/Yardi Voyager or similar software is preferred. Ability to learn new software and online dashboards is necessary.
  • Interpersonal Skills:
    Strong organizational and interpersonal skills are essential. The ability to build and maintain positive relationships with tenants, vendors, and colleagues is crucial.
  • Problem-Solving:
    Detail-oriented with a logical and methodical approach to problem-solving. Must be able to manage multiple priorities and deadlines effectively.
  • Communication:
    Excellent written and verbal communication skills, enabling clear and effective interactions with a diverse range of stakeholders.
