Summary:
The Office Specialist provides comprehensive administrative support to ensure the efficient operation of the office and its various departments. This role involves performing a variety of tasks including managing communication, organizing documents, and assisting with project coordination. The Office Specialist acts as a key point of contact for internal and external stakeholders, ensuring smooth workflow and contributing to the overall productivity and success of the organization.
Key Responsibilities:
  • Administrative Support:
    • Perform general office duties, including answering phones, managing emails, and greeting visitors.
    • Prepare and distribute correspondence, memos, reports, and other documents as needed.
    • Maintain office supplies inventory and order materials as required.
  • Customer Service:
    • Handle inquiries while providing accurate information and assistance.
    • Schedule and confirm meetings and site visits.
    • Maintain positive relationships with clients and address any concerns promptly.
  • Team Support:
    • Assist in organizing training sessions, department meetings, and company events.
  • Data Management:
    • Maintain and update databases, contact lists.
    • Compile and analyze data for reports and presentations.
    • Ensure all documentation is accurate and up-to-date.

Qualifications:
Education: High school diploma or equivalent; additional certification in office administration or related field is a plus.
Experience: Previous experience in an administrative role, preferably in construction, landscaping, or related industry.
Skills:
  • Must be bilingual in Spanish language.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
Working Conditions:
  • Primarily office-based with occasional visits to project sites. Project site visits may be either indoors or outdoors in areas that are dusty, dirty, in the rain and muddy.
  • Full-time position with standard office hours; may require occasional overtime depending on project deadlines.
