POSITION OVERVIEW:
The Medical Office Scheduler welcomes each patient, engages with the patients while entering the patients information into the electronic health record. They answer, return, and forward telephone calls, emails, and faxes to the appropriate staff member. They handle requests for information about the clinic, how to become a patient, etc.

RESPONSIBILITIES
  • Exceptional Customer Service
    • Greet patients in a friendly and pleasant manner using excellent customer service.
    • Provide excellent customer service to a diverse age and ethnic population
    • Politely answer, return, and forward telephone calls, emails and faxes.
    • Take and distribute messages to appropriate staff using the Electronic Health Record (EHR)
    • Performs all duties in an independent manner with support from the Patient Access Team Lead
    • Educate patients regarding GSCC guidelines and appropriate documents
  • Appointment Management
    • Schedule appointments for GSCC patients.
    • Must be adept in working within the schedule portion of the Electronic Health Record (EHR)
    • Review schedule daily to ensure all appointment needs are met
    • Maintain departmental day-to-day office operations, monitor, and prioritize workflow, provider schedules and efficient patient workflow
    • Listen to the patients needs and find a solution that is right for them
  • Patient Reminder Calls
  • Insurance Card & Demographic Capture / Update
    • Must have extensive knowledge of in-network insurance carriers for providers
    • Enter, correct and maintain important patient information in EHR by obtaining, recording and updating personal, financial information and special instructions on patients when necessary.
PERSONAL SPECIFICATIONS
  • Knowledge and Experience:
    • Proficient in Spanish : Written & Verbal
    • High School diploma or equivalent required.
    • Previous experience in a health care setting is preferred.
    • Strong computer skills are a must.
    • Highly motivated, well-organized and detail oriented.
    • Able to manage multiple tasks in a fast-paced environment, while maintaining a high degree of professionalism and exceptional customer service with diverse constituencies.

Physical Requirements:
While performing the duties of this job, employees are regularly required to sit, walk, and stand; talk and hear, both in person and by telephone. Good eyesight and manual dexterity skills are essential. Must have sufficient mobility to bend, stoop, and bend down to the floor; ability to move around rapidly; and to move in small, confined areas. Ability to lift up to 25 lbs.
