Project & Contract Administrator Job Summary: The primary function of this role is to ensure that contracts and other project and safety related materials are distributed, tracked, filed & followed through to completion. A successful applicant for this position must be highly organized and determined to finish tasks through to completion. This person also must be self-motivated, possess a high level of professionalism and interpersonal skills, have familiarity with reading and navigating construction plans, have a strong critical thinking and solution-oriented mindset, be familiar with the general workings of commercial construction, and have excellent communication and skills.

Job requirements: • Highly Organized • Excellent communication skills, both written and oral. A high level of professionalism is required in all interactions - coworkers, subcontractors, Owners, Inspectors, and others. • Ability to record, organize and prioritize tasks of various complexities and follow through to completion of task. • Must be solution oriented and can collaborate with other team members to problem solve. • Must possess strong reading & writing skills; must possess basic math skills. • Must be able to consider information from multiple sources and practice sound decision making based on the information available. • Must be able to adjust to change to accommodate changing conditions or unexpected events. Must be computer (Windows) proficient including software: Microsoft Office Excel, Word, Teams, and Outlook; PDF editor (such as Bluebeam); Must be able to: create and send emails; create, save, edit files and organize them into server/ local folders; digitally markup/ annotate various project documents and incorporate them into emails, etc.; create/ schedule meetings, including e- meetings; facilitate online meetings (Teams). Can learn new software, including: Fieldwire, Pipeline, Procore, etc.

Not required, but preferred : • Bilingual English/ Spanish • Basic familiarity with construction drawings/ documentation • Should have familiarity with construction vernacular, operations, plan reading, jobsite structure, and bidding requirements. • Read and navigate construction blueprints and plans or have the desire to learn

Skills Required and Job Responsibilities • Create a running list of all tasks needing to be completed; prioritize tasks to ensure items can continue to run forward on time. Update task list with statuses and completions. • Assist team with preparation/ distribution of bid documents. • Answer phone calls and receive visitors and deliveries- 2nd line of defense • Print/organize project materials including plans and specifications. • Prepare subcontracts, change orders, Letters of Intent, etc. and track status to completion. • Assist Project Management team with creation of templates and logs – submittal logs, RFI Logs, Change Order Logs, Close Out logs, etc. • Photocopying, filing/ organization, materials procurement, expediting, and other tasks of administrative nature. • Arrange training sessions for staff (safety, project specific, etc.). • Track status of permits, bid bonds, performance bonds, etc. • Assist Project Management team in procuring close out documentation and organizing into binders, shared folders online, DVDs, CDs, or other mediums. • Coordinate with site superintendents and project managers for administrative related tasks. • Perform deliveries or other tasks outside of the office (visit City/ County to pick up permits, delivery of project related materials and documents, etc.) • Assist staff as needed with filing, copying, note taking, etc. • Assist with receiving and distributing computer equipment – 2nd line of defense • Receive/Distribute packages and mail – 2nd line of defense • Act as “runner” taking things to and from our jobsites, local stores, other errands, etc. – must be able to lift 30-40 lbs • Bid Solicitation (Pipeline Suite) • Administration/ setup of online platforms (Procore, fieldwire, pipeline, etc.) • UPS packaging and sending out for project- related items – supplies, submittals, plans, etc. • Other duties as assigned to ensure project success.

Education & Experience requirements: • High School Diploma required, 4 Year Degree Preferred. Regardless of education, must possess strong verbal and written communication skills. • 2 + years in similar role or other construction trade related job preferred but not required. • Compensation depends on skills and experience. • The job is based in Monterey, CA home office. • Must be able to pass a background check
