Director of Distribution - Full-time, Day

General Summary of Duties:

The Site Supply Chain Director (SSCD) is responsible for all supply chain operations within their assigned affiliate. They operationalize all contracts and initiatives that pertain to their assigned affiliate. The SSCD leads a team of supply chain specialists from managers, supervisors, coordinators, leads, technicians, and attendants.

The SSCD coordinates all activities needed to ensure the right products, equipment, and services are available for our customers at the right time and for the right price. To this end, it is not in their scope of practice to decide on the clinical efficacy of any product, equipment, or service nor should they provide education on their use.

The SSCD is the facilitator between affiliates and others. This requires interaction with Vendors, Finance, Purchasing, AP, Contracting and other levels of the organization to identify and resolve concerns timely and escalate if needed.

SSCDs ensure that all supply chain processes align with the RWJBH goals and objectives.

Duties include but are not limited to:

  • Assisting with tracking the status of contracts and once executed and coordinated, operationalizing the agreement
  • Assisting with getting PeopleSoft requisitions processed timely (this does not mean always keying requisitions, it simply means offering support to end users)
  • Assist with obtaining quotes
  • Being the point of contact to resolve problems with a supply chain component
  • Resolving product challenges, communicating with suppliers, and identifying clinically appropriate substitutions
  • Coordinate bulk purchases
  • Leading the efforts on identifying supply needs for construction and renovation projects when needed
  • Ensure that receiving functions are completed timely and most especially transactions in the Peoplesoft system.
  • Ensure that department ordering practices limit the need for STAT Peoplesoft requisitions by offering guidance on sound inventory management practices
  • Manage the sourcing, delivery, stocking, replenishment, and rotation of all supplies in those areas of the facility where supply chain has the sole responsibility of inventory management. These areas include but are not limited to nursing units, storerooms, and surgical service.
  • Maintain a log of monthly audits of all storerooms to ensure products are
  1. Not expired.
  2. Not stored in corrugated boxes.
  3. Stored goods are not within 18 of the ceiling.
  4. Not on the floor.
  5. Storage containers are dust and dirt free.
  • Collaborate with the Clinical Research Manager to ensure all equipment and supplies are clinically acceptable for use in the assigned affiliate
  • Identify savings opportunities and collaborate with the clinical resource manager for approval and execution
  • The SSCD plays an integral role in the monthly value analysis team meetings. They should also be prepared to facilitate these meetings when needed.
  • Meet the established monthly KPIs
  • Identify and provide education where needed with the assistance of the corporate supply chain educator
  • Coordinate, reconcile, and sign annual inventory counts timely
  • Ensure that consigned inventory is documented and maintained per policy with monthly counts and reconciliation in collaboration with the vendor representative
  • Ensure that all supply chain facility operations policy and procedures are always adhered to and reviewed annually
  • Conduct documented weekly team meetings and more frequently if needed
  • Identify areas of improvement. With leadership assistance, create a plan of execution.

Job Qualifications/Education/Training/Certification/Licensure

Education:

  • A bachelor's degree in Business Management, Healthcare Administration, Finance, or similar is preferred.

Experience:

  • Minimum of 3 years hospital management experience required.
