* Targeting 32 - 40 hours/week

Primary Objective of Position

To welcome employees, vendors, customers, and visitors in a manner that promotes and supports the culture of customer service present in the organization. Provides administrative support throughout the organization, completing necessary projects and/or other tasks as assigned.

Major Areas of Responsibility

  • Serves as the first contact for potential employees, vendors, customers, and visitors. Begins the process of introducing people to the culture of the Company by displaying a welcoming, helpful, and positive attitude. Engages with visitor(s) until staff person arrives to escort them.
  • Answer incoming calls in a friendly, efficient manner, directing calls accordingly. Ensure unneeded calls are not sent to an employee.
  • Maintain company’s security system. Ensures all visitors sign-in and display a name badge while within the building.
  • Administer visitor and contractor safety process and videos in collaboration with the Sr EHS Engineer.
  • Create and update Intek Phone Directory, SharePoint Calendars, etc.
  • Order employee-related supplies including business cards, awards, trophies, letterhead, and badge stock, etc.
  • Manage 6S of mail room, creates mailboxes, responsible for postage machine, and maintaining lobby screens.
  • Assist with employee committee activities and events.
  • Organize and distribute incoming/outgoing mail, packages, and deliveries.
  • Responsible for ordering necessary meals and arranging delivery.
  • Manage conference room bookings and posts daily meeting schedules, along with stocking beverages and supplies.
  • Complete job packet or specialty labels for production as needed.
  • Administers operator employee ink stamp program and creates new employee badges and replacement badges.
  • Supports Intek Plastics, Inc. policies and procedures and conducts departmental and Company activities in accordance with these policies.
  • Every employee is expected to support the INTEK Quality Management System (QMS) in accordance with our Quality System Manual and Documented Procedures.
  • Miscellaneous departmental projects (AP & AR, PowerPoint, other software/computer applications)
  • Other duties as assigned..

Qualifications

  • Two-year related degree or equivalent experience in an administrative assistant role preferred but not required.
  • 3 years of previous administrative or receptionist experience desired.
  • Ability to provide an excellent first impression.
  • Advanced oral and written communication skills.
  • Able to demonstrate company values at all times.
  • Intermediate proficiency in Microsoft Office Suite of products.
  • Intermediate Computer proficiency.
  • Basic accounting skills helpful.
  • Ability to work in a fast-paced environment with quickly changing priorities to ensure superior customer satisfaction.
